Peer Review Process

The Cuban Journal of Stomatology does not receive charges for the sending, processing and publication of its articles. All published research is open access and all processes are free of charge for authors and readers.

The evaluation process is double blind.

The reviewers of the Cuban Journal of Stomatology do not belong to the publishing institution to which the journal belongs. These are represented by stomatological professionals from more than 10 countries in America and Europe.

The proposed articles are sent to two members of the Review Committee, formed by external evaluators, or not, to the Cuban Society of Stomatology. In the event of a discrepancy of opinion between the two reviewer pairs initially convened, a third reviewer will be invited with a criterion of opinion. The decision of approval, revision or rejection is communicated by the section editor or editors to the author. In case of rejection, the section editor sends the results of the evaluation form to the contact author with the suggestions of the peer reviewers regarding the improvements that could be applied to the article. If accepted, the article goes through the editorial format review and the Advisory Committee.

Each article is reviewed taking into account specific online review guides for each type of article, which can be requested by authors and reviewers.

The maximum time elapsed between the arrival of the article and the first response of the arbitrators is 1 month. Likewise, the time between the reception of the article and its acceptance for publication is 6 months to a year, although this may be delayed depending on the final approval of the submitted proposal and / or response delays by the author and / or reviewer . At the end of each article there are the dates of receipt and approval of the same, with the exception of the articles of the sections: editorial, obituaries, events and recognitions.

The entire peer review process is carried out through the Open Journal Systems (OJS) platform for editorial management automation. Receipt of documents of any process is not accepted by another way.

Open Access Policy

The Cuban Journal of Stomatology is subject to the Creative Commons License (CC BY-NC 4.0) and follows the publication model of SciELO Publishing Schema (SciELO PS) for publication in XML format.

This journal provides immediate free access to its content under the principle that making research available to the public free of charge supports a greater exchange of global knowledge.

Archiving

This Journal uses the LOCKSS system to create a distributed file among the participating libraries, allowing these libraries to create permanent archives of the journal for preservation and restoration purposes.

Submission of manuscripts

  • Enter the online platform of the journal with address: http://www.revestomatologia.sld.cu/index.php/est
  • If you are not registered you must do it before. When you add your username and password (they do not have to be the ones you use for your email), click on login and the profile will start. Once there, click on the author and you will START A NEW SEND and below click here to go to the first step.

Step 1. Start shipping

  • In Section you have to click on the box, select the corresponding section for the type of article.
  • Then select the language in which your article is written.
  • Check that all the necessary aspects have been met to upload the article in the checklist and mark each of them.
  • Click on SAVE AND CONTINUE.

Step 2. Introduction of metadata.

  • All the data of each of the authors must be entered. Special attention in the data that have an asterisk *
  • The introduction of the filiation and the ORCID number of each author is mandatory. The format for the introduction of the filiation is explained in the instructions to the authors.
  • To add each author click on Add author to complete the total number of authors.
  • Add the title Do not put the word title in front of it or put an endpoint.
  • Add the structured summary below.
  • Below add the keywords. Separated by semicolons (;) and all in lowercase.
  • Fill in this section the other data that may be of interest for indexing your article, if necessary.
  • Click on SAVE AND CONTINUE

Step 3. Upload the shipment.

  • Where it says: upload the shipment, click on the key that says browse and find where you have your item on your computer and click on open and the item is placed in the blank but you have to click on UP to complete the operation.
  • Then at the end click on SAVE AND CONTINUE

Step 4. Send complementary files.

  • In this step you upload: the letter of acceptance of publication and distribution, the originality form and the ethical principles form.
  • In addition, you can upload databases, high-resolution images that are complementary and related to your research.
  • To do this, click on browse and search the documents marked on your computer, click on open and then click on upload.
  • IMPORTANT. In the normative documents where the names of the authors are revealed, do not select the option to show the complementary ones to the reviewers.
  • At the bottom of the page click SAVE AND CONTINUE

Step 5. Shipping confirmation

  • If everything is fine, click on CONFIRM and you're done.

Forwarding corrected manuscripts

  • Being connected, enter the OJS platform of the magazine in the link: http://www.revestomatologia.sld.cu/index.php/est/index
  • Enter your name and password and click on login.
  • When leaving the main page of the author click on Author.
  • That page shows the items you have sent.
  • Click on the title of the article that you have already corrected, the summary etc.
  • At the top you will find links that say: SUMMARY, REVISION, etc. Click on REVIEW.
  • On the Review page, at the end there is a section named: Editorial decision and at the end an item that says Upload author's version.
  • Click on browse and search on your computer where the corrected item is located. Select it and in the dialog box click on Open.
  • The article will fill in the blank, but you have to click on Upload and wait until the article appears in the author's version, and your article will be ready to continue the process and be sent to review again.

Plagiarism detection policy

The Cuban Journal of Dentistry, has a policy of plagiarism detection, which aims to ensure that the authors comply with the ethical standards necessary to ensure a process of transparency in the publication process.

Editors carry out the plagiarism detection process through the Turnitin software, and it takes place in any editorial stage process. When plagiarism is detected, it is rejected immediately and authors and institutions are informed of the situation.

In other hand, the reviewers are asked during the evaluation stage to inform if they detect any form of plagiarism in the manuscript.

Policy for the preservation of digital archives

We have 3 media for the preservation of your publications (last update June 25, 2019) *:

  1. Internally, it has storage on external hard drives that update its contents quarterly.
  2. Long-term preservation, as an accredited journal in SciELO (https://scielo.org/es/sobre-el-scielo/preservacion-digital/), "Revista Cubana de Estomatología" has access to preserve its articles in CLOCKSS. You saw: The Keepers Registry.
  3. The "Revista Cubana de Estomatología" is rules by the policy of preservation of current digital data established by the Medical Sciences Publishing House (ECIMED) with the National Information Center of Medical Sciences (Infomed).

Publication Periodicity

The “Revista Cubana de Estomatología” published between 9 and 18 articles every 3 months until Issue 2 of 2019. As of Issue 3 of 2019, it began publishing with the modality of continuous publication with the closing of the numbers in the same period of weather. (quarterly)

Starting in January 2024, the journal adopts the model of continuous publication in a single volume per year without issues.

Resources for reviewers

The reviewers of the "Revista Cubana de Estomatología" are our strongholds worthy of full and constant recognition for their altruistic work done for our publication. For this reason, we provide them with the necessary resources to facilitate the peer review process and we make available these review guides, which they have the duty to review and use for article evaluations.

Preprints- Postprints policy

The "Revista Cubana de Estomatología" accepts manuscripts that have been previously published in preprint repositories.

Period of acceptance - publication of the "Rev Cubana Estomatol" may be a bit long, the publication makes it possible for authors to make their research results known before their manuscript is officially published. From the foregoing, the preprints-postprint policy is derived, which is established under the terms below.

Terms of the preprints- postprint policy of "Rev Cubana Estomatol"

The "Rev Cubana Estomatol" approves that the authors of the articles publish their manuscripts on Preprints-Postprint Servers only when they have been accepted for publication and go to editing.

Editorial policy and processes

For the management of the manuscripts, Rev Cubana Estomatol uses the 100% Open Journal System (OJS) for their management.

The journal bases its editorial processes on the ethical Code of the Publications Ethics Committee (COPE).

The workflow description as follows:

The editor-in-chief receives the articles and initially assesses their suitability to the journal's themes and their quality, and in doubtful cases he consults the management. This first selection of the articles by the management team is essential, since only this team has the general vision of the objectives and the level of quality that the journal pursues and over the years it has acquired the experience and the sufficient skill to be able to screen accurately. This task is not entirely left to the reviewers or reviewers.
The editor-in-chief together with the executive editor performs two more tasks: checking the originality of the text by searching the Web and using Turnitin to detect text matches and taking care that the texts are anonymized in the properties of the Microsoft Word text editor.

This process does not exceed 3-7 days. If the article is not rejected, it is assigned to a section editor to manage the peer review process and the rest of the processes.

The journal's rejection rate is over 85%. The evaluators suggest improvements in the majority of approved articles, so in many cases there are 2-4 rounds of evaluation. If the article has deficiencies when it reaches the fourth round of review, it is automatically rejected.

Once the article is definitively accepted, the editor-in-chief passes it to the next stage of editing, where the proofreading editor checks if the additional materials (graphics, illustrations, photos of the authors) are in good condition, with sufficient resolution to be published. If they are not correct and it is not easy to fix or replace them, he requests them from the authors. The proofreading editor is subordinate to the publishing entity (Editorial de Ciencias Médicas) and is also in charge of making style corrections and final editing in accordance with the general policy of the publisher.

While an article is in the editing process, authors can publish accepted manuscripts on preprint-postprint servers under the following terms.

APC Policy

The Rev Cubana Estomatol does not charge fees (No APC) for reading, submiting, reviewing, editing or publishing any of its contents and articles.

Articles writing in english

The Revista Cubana de Estomatología prefers English-language articles by English-speaking authors. In the same way, articles in this language are assumed from Authors of Spanish or another different from English as long as these articles are accompanied by a certificate from an institutional department* or company** dedicated to the grammatical revision or translation of the final product sent to the journal.

This document must include in its content:

  • Name of the institution or company issuing the document
  • Translation department (if applicable in that case)
  • Name of the person doing the translation
  • Name of the article, authors and journal
  • Contact information of the professional who performs the grammar check or the translation (email, contact telephone number, etc.)

The writing style of the articles must be in the passive voice (impersonal).

For Spanish-speaking authors it is mandatory in addition to the English version, to attach the Spanish version.

*The departments of English or foreign language of the universities, can assume the grammatical review of the works of the authors certifying with official document that must contain the data of the article, institution and authors.

Policies on Conflict of Interest, Human and Animal rights, and Informed Consent

Conflict of Interest (COI)

A Declaration of Conflicting Interests policy refers to a formal policy a journal may have to require a conflict-of-interest statement or conflict of interest disclosure from a submitting or publishing author.

‘Conflicts of interest arise when authors, reviewers, or editors have interests that are not fully apparent and that may influence their judgments on what is published. They have been described as those which, when revealed later, would make a reasonable reader feel misled or deceived.’

Reviewers

To ensure that the review process is free of conflicts:

Editors should select a guest editor when there is a conflict of interest with respect to an author. Editors should ensure that reviewers are free of conflict of interest with respect to an author.

Reviewers should contact the section editor assigned to the article to declare any potential conflicts of interest in advance of refereeing an article.

Minor conflicts do not disqualify a reviewer from reporting on an article but will be taken into account when considering the referees’ recommendations.

Authors

All authors and co-authors are required to disclose any potential conflict of interest when submitting their article (e.g. employment, consulting fees, research contracts, stock ownership, patent licenses, advisory affiliations, etc.). If the article is subsequently accepted for publication, this information should be included in the paper.

Editors

Editors should not make any editorial decisions or get involved in the editorial process if they have any COI (financial or otherwise) for a submitted manuscript.

An editor may have COI if a manuscript is submitted from their own academic department or from their institution in such situations; they should have explicit policies for managing it.

When editors submit their own work to their journal, a colleague in the editorial office should manage the manuscript and the editor/author should recuse himself or herself from discussion and decisions about it.

Human and Animal Rights

All research must have been carried out within an appropriate ethical framework. If there is suspicion that work has not taken place within an appropriate ethical framework, Editors will follow may reject the manuscript, and/or contact the author(s)’ ethics committee. On rare occasions, if the Editor has serious concerns about the ethics of a study, the manuscript may be rejected on ethical grounds, even if approval from an ethics committee has been obtained.

Articles conducting any animal or clinical studies should contain a statement in accordance with the animal and human ethics committee. Research should be carried out in a manner that animals do not get affected unnecessarily.

Registration is required for all clinical trials.

The Journal demands the authors to fulfill the Ethical principles for publication form in the same time that a submission is made.

Informed consent

For “Revista Cubana de Estomatología”, patients have a right to privacy that should not be violated without informed consent. Identifying information, including names, initials, or hospital numbers, should not be published in written descriptions, photographs, or pedigrees unless the information is essential for scientific purposes and the patient (or parent or guardian) gives written informed consent for publication. Informed consent for this purpose requires that an identifiable patient be shown the manuscript to be published. Authors should disclose to these patients whether any potential identifiable material might be available via the Internet as well as in print after publication. Patient consent should be written and archived either with the journal, the authors, or both, as dictated by local regulations or laws. Nonessential identifying details should be omitted. Informed consent should be obtained if there is any doubt that anonymity can be maintained. For example, masking the eye region in photographs of patients is inadequate protection of anonymity. If identifying characteristics are altered to protect anonymity, such as in genetic pedigrees, authors should provide assurance, and editors should so note, that such alterations do not distort scientific meaning. When informed consent has been obtained, it should be indicated in the published article.

Data Sharing Policies

"Revista Cubana de Estomatología" is committed to a more open research landscape, facilitating faster and more effective research discovery by enabling reproducibility and verification of data, methodology and reporting standards. We encourage authors of articles published in our journal to share their research data including, but not limited to: raw data, processed data, software, algorithms, protocols, methods, materials.

Although until 2023 this was optional. Starting in 2024, the journal requires all authors to provide processed or unprocessed research data from all of their original or research articles, brief communications and systematic reviews or meta-analyses. This includes databases in Excel®, IBM SPSS®, R-Studio® codes. The omission of sensitive information about study participants should be considered. (May not apply to qualitative research)

For these purposes we suggest the SciELO Data (https://data.scielo.org/) and Zenodo (https://zenodo.org/) data repositories that provides authors with permanent DOI identifiers that guarantee the persistence of this data to be reused. In addition, these can be cited as Dataset in the references for easy identification in the articles.

Gender Equity and Equality Policy

The "Revista Cubana de Estomatología" is committed to promoting equity and gender equality in all its editorial and administrative processes. This policy aims to ensure an inclusive and respectful environment, free from gender discrimination, and to ensure that people of all genders have equal opportunities to contribute to and benefit from our activities.

In addition, this policy applies to the inclusion of editorial board members and other administrative and decision-making responsibilities.

Policy for the Use of Artificial Intelligence

The " Revista Cubana de Estomatología " strives to maintain high standards of academic integrity and to promote a responsible and innovative research environment.

The "Revista Cubana de Estomatología" is committed to the publication of high-quality research, based on scientific integrity and professional ethics. In order to ensure transparency and accountability in the use of Artificial Intelligence (AI) tools in the production of scientific papers. Based on this, the journal establishes the following guidelines:

1. AI Use Statement

Authors must explicitly declare the use of any AI tool during the development of their research work.

Authors should download the Ethical Principles for Publication Form containing the statement of AI use from the journal's website. This form should include detailed information about the tool used, the role it played in the work (e.g., text generation, data analysis, literature search), and any limitations or potential biases to consider.

In case no AI tool has been used, the authors must make an explicit statement about it in the form.

2. Human Supervision

Authors are responsible for the accuracy, completeness, and originality of their work, even when AI tools have been used. The journal reserves the right to request the review of the papers in case there are doubts about the use of AI or the veracity of the data presented.

3. Ethics and Authorship

AI should be used as a support tool for research and writing, not as a replacement for human authorship. Authors should be the ones who take responsibility for the research and writing of the paper, even when AI tools have been used.

4. Publication Guidelines

The journal reserves the right to reject any work that does not comply with the scientific quality standards, professional ethics, and guidelines for the use of AI set forth in this editorial policy. The journal is committed to reviewing and updating this editorial policy in accordance with the evolution of AI technologies and changes in the ethical standards of scientific research.
